In line with our mission, we are searching for a talented and motivated Event Coordinator to support our internal and external events.

The Event Coordinator will be responsible for the planning, production, and execution of internal and external events, helping to make them outstanding and unforgettable.

As the event coordinator, you should be well-organized and possess excellent project management skills to manage multiple concurrent events globally. Excellent communication and attention to detail skills are vital in this role with the ability to manage multiple timelines and deadlines, in a collaborative fast-paced environment.

In this role, you will work closely with internal teams (Demand Generation, PMMs, Customer Success, Sales, Design, etc.), vendors, external organizations, and other stakeholders to ensure efficiency, coordinated event efforts, and strong event execution.

What You’ll Do:

· Responsible for project management of national conferences, executive summits, and internal user group conferences. Ownership, accountability, and reporting for all logistical elements (ex. registration, securing sponsorships, booth, swag, etc.).

· Liaise with vendors, exhibitors, and key stakeholders (ex. PMMs) during the event planning process to ensure successful execution of the event.

· Setting up pre and post conference meetings to review logistics.

· Manage all on-site event logistics.

· Manage follow-up processes (work with sales to gather leads, post attendees list, etc. to share with Ops team for upload to SFDC).

· Proven effectiveness in contract negotiations and cost optimization from key vendors.

· Understanding of the best and latest event technologies.

· Process invoices to ensure prompt payment and facilitation of post-event.

· Post-event, measuring success against outlined objectives and providing recommendations.

· Working closely with the VP of Marketing Operations to provide budget management across multiple events.

Necessary Skills / Requirements:

· At least 5 years of experience as an event coordinator.

· Ability to travel (US, Canada, other international locations) for onsite event support and meetings (approx. 10-25%)

· Previous experience in project managing and running multiple events, in preparation, on-site and logistically.

· Well-organized with excellent multi-tasking abilities.

· Outstanding vendor and project management skills.

· Strong organizational skills and respond quickly to rapidly changing external and internal priorities.

· Manage multiple projects under tight deadlines.

· Possess strong interpersonal communication skills, including the ability to work collaboratively and interact with all levels.
